An outreach tool can show a HubSpot logo and still leave a reply out of the contact record. HubSpot's own Sales Navigator connection displays LinkedIn context and lets eligible users send InMail, but HubSpot says it cannot import LinkedIn contacts through that app and does not automatically save the InMail conversation to the record timeline. Other connectors create contacts, log actions, or write message history in different forms. Before choosing one, name the record or event your team must find in HubSpot after a conversation.
The native card helps research; it does not build the timeline
HubSpot's Sales Navigator app adds a card to contact and company records. A rep can inspect profile and company information, see shared connections, and open an InMail composer without leaving the CRM. The connection requires a Sales Hub Professional or Enterprise seat and Sales Navigator Advanced Plus. HubSpot's documentation is explicit about two limits: it does not import contacts from LinkedIn, and InMail conversations are not automatically saved to the contact timeline. A rep can log a message manually.
That may be enough for a team whose job is research before a manual conversation. A team trying to see every prospect, request, reply, and next owner in HubSpot needs to test a different data path. The vendor's word ‘native’ tells you little about which path it supplies.
A reply flag, an activity, a note, and a message are different data
Waalaxy says its HubSpot connection on Pro, Advanced, and Business plans can export prospect fields and a replied yes/no value. Its guide says it cannot show the exact message to which the prospect replied. That can support a follow-up queue, but a rep opening the CRM record will not get the conversation from that flag. Waalaxy describes this as a one-way export from Waalaxy to HubSpot.
HeyReach describes another shape: connection requests, messages, replies, InMails, and campaign events appear as activities on a matching HubSpot contact, while the conversation sits in a note for each sender. Kondo's documentation says individual LinkedIn Message objects sync while Kondo is open. If it is closed and reopened later, the latest message syncs as an activity and a conversation-history note refreshes when the chat is opened. Those are vendor descriptions, not tests we ran. Ask to see the resulting CRM record, including the object's type and timestamp, before treating any of them as a complete archive.

The trigger decides who reaches the CRM
Waalaxy can export a lead when it enters a campaign or after selected actions such as an accepted invitation or a reply. HeyReach says contact updates can happen on the first reply by default or on campaign addition. Expandi describes manual pushes and selected action or interest triggers; its help article says activity logging follows after a lead has been synced. A report that seems to omit unresponsive prospects may be showing the connector's configured threshold, not a broken campaign.
Write the threshold into the buying test. If your team wants a record for every person contacted, a first-reply setting is too late. If the CRM should contain only qualified conversations, syncing every imported lead may produce noise. Check whether a HubSpot list feeds the campaign too: HeyReach says it can pull lists into outreach, while Waalaxy says its CRM sync sends data outward and cannot bring HubSpot records back into Waalaxy through that connection. ‘Two-way’ needs a field-by-field explanation.

Match an existing person before measuring activity
Dripify's help article says its connector tries a LinkedIn profile URL first, then email, then first and last name when matching an existing HubSpot contact. It says email can identify a match but will not overwrite that contact's existing email field. Kondo says it matches records by LinkedIn URL and can optionally create a new contact if none matches. These rules affect whether a reply lands on the record the account owner already uses or creates a second person with a separate history.
The missed-event case matters as much as the first successful sync. Dripify distinguishes a manual disconnect, whose missed updates it says will not backfill, from an external connection error, whose missed updates it says can sync after reconnection. Other vendors may have different behavior or leave it undocumented. Ask for the exact backfill rule before moving an active team's history into a new connector.

Run a two-contact acceptance test
Use two consenting colleagues' real, existing profiles and a non-production CRM workspace where possible. One HubSpot contact should already have the correct LinkedIn URL and owner; the other should be absent from the test CRM so you can observe contact creation. Record the starting fields and the existing record ID. Do not create fake LinkedIn accounts or start a broad automated campaign merely to test CRM behavior.
Keep the result as a small evidence record with screenshots or exported field names and the test date. We have not run this test across the products above; their documented behavior can change with plan and configuration. Assess LinkedIn account-policy risk separately from CRM data quality before enabling automated actions.
- Record the plan, HubSpot account, connected sender, admin role, field mapping, sync direction, and trigger setting. Ask for current documentation where the setup screen is unclear.
- Cause one permitted, controlled event and one reply using the test contacts. If the connector only logs automated campaign actions and your team has not accepted that account-policy risk, ask the vendor for a sandbox or demonstrated CRM record instead of running a live sequence.
- Inspect HubSpot. Did an existing contact update or did a duplicate appear? Is the result a field, activity, note, or message object? Does it contain message text or just a replied flag? Are timestamp, sender, campaign, and owner usable by the next rep?
- Ask what happens to an event during disconnection and how the vendor proves it backfills. Test this only in a disposable integration or supervised demo, not by breaking a production connection.
Choose from the record you need
Keep HubSpot's Sales Navigator card if profile context and manual InMail work are the requirement and your seats qualify. If sales management needs a contact created at a defined moment, select a connector whose trigger and matching rule pass the two-contact test. If a handoff depends on the actual conversation, inspect the message object or history note after the app has been closed, after another sender replies, and after reconnection. A vendor page can identify which tests to run; the record in your own HubSpot account tells you whether the integration meets the job.
