LinkedIn outreach software cost calculator
A per-user rate and a per-sender rate can look alike until your team has more LinkedIn identities than people, or the other way around. Enter the units your two quotes actually bill, then compare recurring costs on the same basis.
Research desk · Source definitions checked September 29, 2026. The example below uses invented prices, not current vendor quotes.
First, find the billable unit
A label like “seat” is not a definition. HeyReach says its sender/seat is a connected LinkedIn account and describes additional teammates as separate from that billing unit. Dripify labels its plans per user. Neither label tells you every detail of a contract. Ask each vendor what counts when a rep manages several accounts or several people work on one account.
Use the monthly equivalent of each quote. If a vendor gives only an annual prepaid price, divide the annual amount by 12 before entering it. Keep setup fees and taxes outside the result; this worksheet models recurring spend. If a separate Sales Navigator license applies to both options, enter its monthly cost under shared costs.

Compare the billing units
Enter the units each vendor actually charges for. All prices are monthly amounts from your own quotes; the worksheet has no live vendor pricing.
For formatting only. The worksheet does not convert currencies.
Enter non-negative whole unit counts and both unit prices to see the comparison. Optional charges count as zero when left blank.
Check the arithmetic
Each monthly total is billable units × monthly price per unit + that quote's other monthly charges + shared monthly costs. The 12-month figure multiplies that total by 12. It assumes no change in prices, active accounts, or headcount.
Load the fictional example: four billable users at $40, six billable sender accounts at $30, $20 of quote A charges, $50 of quote B charges, and $100 shared monthly. Quote A is $280 a month; quote B is $330. The $50 gap exists because the unit counts and quote-specific extras differ, even though quote B has the lower unit price.

- What exactly is a billable user, seat, sender, or connected account?
- Is there a minimum commitment, bundle, onboarding fee, or charge for inactive accounts?
- Which credits, invitations, support, CRM integrations, and extra workspaces change the price?
- Does the quoted rate require annual prepayment? What happens at renewal or cancellation?
- Can you export lists and campaign state if you switch providers?
Price is only one constraint
LinkedIn's prohibited-software guidance says it does not permit third-party tools that scrape, modify, or automate activity on its website. A lower quote, daily cap, or vendor safety claim does not establish that a workflow is permitted or that an account is safe. Read our LinkedIn automation risk checklist before connecting an identity.
