A shared inbox can show replies from several LinkedIn senders in one place. That solves only the first part of a sales team's problem. Before buying one, check which conversations it imports, who can read them, which identity sends a reply, and whether a reply changes the next scheduled action. HeyReach and Expandi document multi-sender inboxes, but their help pages describe different visibility and permission rules. Treat both as trial candidates, not a ranking based on untested outcomes.

01

Decide which conversations belong in the queue

Start with the conversations your team actually needs to handle. A campaign reply, a message a rep sent manually, a Sales Navigator conversation, and a private exchange in the same LinkedIn account are four different cases. A dashboard labeled “all replies” may omit some of them; importing all four may expose more than the team intended.

HeyReach says its Unibox displays conversations across connected LinkedIn senders and filters by sender, campaign, and message type. Its help center describes two tracking modes: import recent LinkedIn conversations, including a 30-day lookback, or show only conversations started through HeyReach. The second mode may preserve a rep's unrelated LinkedIn messages, but it can also hide a manually started sales conversation from the team queue. HeyReach also says a new direct message from Unibox cannot be sent to a lead with whom there was no earlier LinkedIn or HeyReach campaign contact. Select a tracking mode only after testing both kinds of conversation.

Expandi documents a Global Inbox for multiple LinkedIn accounts in a workspace. Its account Inbox can show LinkedIn and Sales Navigator conversations, plus email exchanged with leads already in the account through campaigns; it does not mirror an entire email mailbox. Expandi also says a Sales Navigator message from its inbox requires an existing conversation. If your handoff depends on an InMail or an email reply, test that exact thread rather than inferring channel coverage from a “unified” label.

02

A shared view changes who can see a sender's messages

The permission screen deserves as much attention as the conversation screen. HeyReach says member permissions are set at screen level. An Inbox permission exposes all conversations that Unibox tracks in the workspace, not only those tied to a member's own LinkedIn account; a separate reply permission controls whether the member can answer on a sender's behalf. For a team that mixes personal and work messages on the same account, the tracking-mode choice and workspace boundary are material privacy decisions.

Expandi documents different Global Inbox scopes by role. Workspace admins and members can see all LinkedIn accounts in that workspace and reply; company managers and LinkedIn account managers have narrower access tied to assigned accounts, with a view-only account-manager option. A role name alone does not prove your intended client or team boundary. Sign in as each proposed operator during the trial and try to open a conversation they should be denied.

03

Run a two-sender reply test before comparing prices

Use two authorized sender identities, two operators, and consenting internal contacts. Create four test threads: one campaign conversation, one manually started LinkedIn conversation, one Sales Navigator conversation if the team uses it, and one unrelated test conversation that should remain private. Use a test workspace without real prospects; if you test a queued follow-up, send it only to a consenting internal contact. Record what each operator sees and whether the message source and sender identity remain visible.

Then assign a work thread to operator B. Have B draft and send an approved reply through the candidate inbox, and confirm it appears under the intended sender account. Change access so B should no longer see that sender; verify the thread disappears and sending is blocked. If the product queues automated follow-ups, arrange a test reply before a queued step and inspect the queue after it arrives. A “replied” label is not proof that the next action stopped. Finally, check whether the CRM or team record shows who owns the next response, and whether both operators can accidentally answer the same thread. These are trial checks, not capabilities established for either vendor by the cited pages.

Pass only when the team can explain every visible thread, every denied thread, the sender of each reply, and the state of the next action. A product that brings replies together but exposes private messages or permits a duplicate follow-up has failed the job you bought it to do.

04

Shortlist for the workflow, then address LinkedIn's rules

HeyReach is a documented candidate when selecting between campaign-only and broader conversation tracking matters. Expandi is a documented candidate when role-scoped Global Inbox access and Sales Navigator threads matter. These are reasons to trial them, not evidence of faster replies or successful client isolation. Dripify documents team roles, templates, and analytics, but the team-role page alone does not establish a shared reply queue across senders; ask for a demonstration of that specific workflow before comparing it as a shared inbox.

LinkedIn says it does not permit third-party software that scrapes its services, changes their appearance, or automates activity, and warns that accounts using prohibited tools may be restricted or shut down. An inbox feature, browser extension, cloud host, or conservative sending limit is no proof of LinkedIn approval. Ask how the candidate connects to LinkedIn and which actions it takes on a member's behalf. If that policy exposure is unacceptable, use each sender's native inbox with an agreed owner and a CRM task for handoff. The manual route is workable when the team can keep replies assigned without another connection.
