A saved Sales Navigator search can show new people who match your filters. That does not, by itself, put them in an outreach campaign. A third-party tool has to import those people, decide whether to refresh its list, and then assign them to a campaign. Each step can have a different schedule and a different review rule. Ask which step the vendor means when it promises a ‘live’ search.

01

A saved search is a set of criteria, not a campaign list

LinkedIn says a saved lead or account search stores its keywords and filters. You can run it again and receive alerts when new results match. Its help page describes weekly email notifications and alerts on the Sales Navigator homepage. It does not describe automatically enrolling those people in a third-party campaign.

The distinction matters when a hiring change, revised filter, or new account suddenly expands the result set. A saved search tells a rep where to look. The outreach tool determines whether any result becomes a lead record and whether that record enters a sending queue. If you only need discovery, review the native alerts and save the relevant leads manually.

Vendors connect the steps in different ways

Expandi documents a Sales Navigator URL lead list. The operator copies a search URL and can optionally turn on Auto-refresh list and choose a refresh interval. A separate optional control assigns the list to a campaign once it is ready. An imported or refreshed list therefore need not start sending; the campaign assignment is its own choice. Expandi also says its Sales Navigator URL list requires an active Sales Navigator subscription and LinkedIn two-factor authentication.

Waalaxy describes a different auto-import path. Its current article says an initial retrieval happens when the campaign starts, followed by a check every 12 hours for newly matching profiles. It describes an optional retroactive setting for earlier matches. These are vendor descriptions, not our hands-on verification or a guarantee that every account, plan, and search behaves the same way. Ask to see the relevant controls in the plan you will use.

03

Test what changes after the first import

Make a small saved search with consented test profiles or a controlled internal list. Before linking it to a campaign, record the search URL, filters, current result count, tool list count, refresh setting, and campaign assignment. Then change one filter so the search returns a different set. After the vendor's documented refresh window, compare the lead records and the next queued actions, not just the total counts.

The hard case is a person who no longer matches. Neither vendor page establishes that a refreshed search removes that person from a campaign or cancels an action already queued. Treat removal as an unanswered product question. Ask the vendor to show a disappearing match, a duplicate already in another campaign, and a newly matched person whose profile lacks a field your message requires. Do not start a live campaign until you can see how each case is held, excluded, or reviewed.

  • Does refresh add only new matches, or replace the list?
  • Can a lead enter a campaign without a person approving it?
  • What happens to queued actions when a search filter changes?
  • Where can an operator inspect duplicates and missing message fields?

04

Decide whether the import path is acceptable

LinkedIn's prohibited-software guidance says it does not permit third-party tools that scrape or automate activity on its website and warns that accounts can be restricted or shut down. The fact that a vendor offers a Sales Navigator import, a refresh interval, or a cloud workflow does not establish that LinkedIn permits that use. Have the account owner make that policy decision before connecting a tool.

For a team that cannot accept the account risk or cannot verify the queue controls, keep Sales Navigator as the discovery surface: inspect its alerts, select people deliberately, and contact them through LinkedIn's native interface. If a vendor import is still under consideration, require a controlled demonstration of refresh, campaign assignment, and removal before any real prospect can enter a scheduled sequence.
